PLAYtarium Update - Covid 19

3/6/2020

Dear Parents and Carers,

We hope you are all keeping safe and well.

In light of the government's recent updates on Covid-19 regulations, some of your children will now be returning to school. Unfortunately, we have had to make the difficult decision that PLAYtarium should remain closed. The school is working hard and taking measures to keep both the children and their families as safe as possible as they return to school. Currently, PLAYtarium is unable to effectively take these same measures due to factors such as the smaller play spaces and fewer numbers of staff. This decision was not made lightly and although we very much want to reopen as soon as possible, the safety of the children, their families and our staff must come first, hence why we have taken this difficult decision to remain closed.

Additionally, we have made the decision not to open for the summer holiday this year - for the first time since opening in the summer of 2000. We’re so disappointed as this would have been the 20th anniversary of PLAYtarium and we had some special events planned. These plans will not go to waste and will be rearranged for the summer of 2021.

We aim to reopen in September where hopefully the situation has improved, and more government guidance released for Out of School clubs to be able to run safely. We will ensure to give you plenty of notice in advance and we'll be in contact with you in August to inform you of our next steps.

Myself, Hannah and all the club staff are so sad we will not be able to celebrate and say goodbye properly to our Year 6 children. We will be in touch separately with those parents.

Thank you for your continued patience, understanding and support during this time and we look forward to seeing you in the September term.

PLAYtarium sends their best wishes to all your families and we hope you stay safe.

PLAY WITH PLAYTARIUM- DIY Playdough

2/7/2019

Picture
At PLAYtarium, we love to run activities where kids can get messy and allow their imaginations to run wild. Kids love to squeeze, squish and mold playdough into anything they choose! DIY playdough is inexpensive and the children love the creation process! Playdough is a great sensory activity. It allows the child to focus their attention, relieve stress and anxiety and stimulate your child's senses! So lets get down to the recipe!

Recipe

  • 2 cups of plain flour
  • 2 tablespoons cream of tartar
  • 2 tablespoons vegetable oil
  • 1 to 1.5 cups of warm water
  • 1/2 cup salt
  • Small amount of food colouring
  • Glitter for some extra sparkle

Equipment
  • Mixing bowl
  • Cup
  • Tablespoon
  • Any kind of mixing utensil

Now we have our recipe and equipment, lets get to making the playdough!

Method
  1. Mix together the flour, salt, and cream of tartar and a small amount of vegetable oil into the mixing bowl.
  2. Add ½ cup of warm water with a few drops of food coloring to the mixture.
  3. Slowly pour the water into the flour mixture, stirring as you pour. Stir until combined,    then knead with your hands until the flour is completely absorbed. If the dough is too sticky, add more flour until it moulds together smoothly.
  4. Add some glitter for some extra sparkle! Let your hands get messy. It's part of the fun!
  5. Repeat process for whichever colours you want to make.
  6. Have fun!

The dough can be stored in airtight containers and ziplock bags, which will allow it to last for months! The children at PLAYtarium thoroughly enjoyed making the playdough themselves and had endless fun sculpting and moulding it for hours!

Here is a brief reminder about how to cancel and 'swap' sessions.

To cancel a session:

1 - Log into your account.
2 - Click the tab 'Summary'.
3 - To the right of sessions you have booked will be the option 'Cancel' or 'Cancel and Refund'

If you have missed the 48 hour cancellation cut off the session will still be payable even if you decide to cancel. This is applicable to all bookings - including childcare voucher and tax free childcare bookings.

If you cancel before the 48 hour cancellation cut off, you will receive credit to use towards future bookings.

If you wish to change a session you have already booked, for example from a 6pm session to a 5.30pm session, you can to cancel the session you have booked and then re-book the session you need. However it is advisable to always contact us first so we can help you with this as you may lose your space if that session is fully booked.

To 'swap' a session you have to another day, you will need to follow the cancellation process. If you have missed the 48 hour cut off them no credit will be due, so you would have to book an pay for the new session with your usual payment method.

Previously on our online system, once you had cancelled a session you would not be able to book back in. This has been updated so you can now do this!

If you need any help or are having difficulties cancelling your session, get in touch by email and send us a screen shot of where you are experiencing issues on your account. This will help us to resolve any technical issues and help you cancel your session!

Changes to Childcare Vouchers, Student Finance and Combo Discount Credit

3/8/2018

Childcare Vouchers

What is changing?
We will still be accepting all childcare vouchers to pay for your session. What is changing is how they are used. Up until now we’ve allowed parents to make bookings before we actually received the childcare vouchers. From now on, childcare vouchers will now only be used to credit your account, with which you can then use to make a booking.

How long does it take for my Childcare Vouchers to be added onto my PLAYtarium account?
It can take up to 10 working days from when you send a payment from your voucher company for it to process and clear into our bank. We recommend planning ahead of bookings by crediting your account monthly to ensure you have enough credit to cover your booking. If you do not have enough to cover your booking, you can pay for the remainder at the checkout with your debit or credit card.

Alternatively you can make a partial booking while waiting for more vouchers to process, however you run the risk of sessions becoming fully booked during this time.

What if I pay too much and have credit that I don’t need?
When you stop using PLAYtarium, or if you have a drastic reduction in the amount of bookings you need, you are able to contact your childcare voucher provider and obtain their refund details. We can then send the amount to be refunded from your account back to the childcare voucher provider, who will then follow their companies procedures in refunding you - please note this varies from each childcare voucher provider and some may not issue refunds. Please check with them directly for full details.

Why is this change happening?
To reduce occurrences of unpaid fees and the admin time spent following these up.

Student Finance

What is changing?
We will still be accepting the majority of Student Finance users, however you will need to meet with our office staff to arrange for this to be considered. Please remember that although you may receive funds to cover up to 85% of your childcare costs, you are liable for the entire fees incurred by your bookings, even if Student Finance decides to pay out less than you applied for. Additional funding options offered by your University or College are usually available, so we will be able to discuss these at your meeting.

Why is this change happening?
To reduce occurrences of unpaid fees and the admin time spent following these up.

Combo Discount Credit

What is changing?
We will no longer be offering a combo discount credit.

Why is this change happening?
As our system cannot automatically apply this, it is a manual process which takes admin time. Unfortunately it is no longer viable to offer this.

All of these changes are being made to reduce the amount of unpaid bookings and fees, as this has a damaging impact on PLAYtarium as we are a Non-Profit organisation and solely rely on parent fees to be able to continue to open and offer our childcare services.

Emergency Contacts

2/2/2018

There has been a new update to our Childcare online Booking system (CoB) - in order to make a booking you will need to create at least 3 emergency contacts, and then assign 2 of them to each registered child in the order you would like them to be contacted.

To do this please follow these steps:

Step 1
On your home page, scroll down to 'Emergency Contacts' and click 'Add'.
Picture
Step 2
Input the contacts details - including a telephone number not used for another contact - and click 'Update'.
Picture
Step 3
Next, on your homepage, scroll down to 'Child / children details' and click 'Edit' next to their name. PLEASE NOTE you will need to update these details for each child individually.
Picture
Step 4
In your child's details, scroll down to the 'Emergency Contact(s)' section. Click the drop down box next to the Third Contact and select the new contact. Then select the relationship. Once you have selected these scroll to the bottom of the page and click 'Update'.

Once you have updated all the children on your account you will be able to make a booking.

Please get in touch with any questions.

Happy Friday!

We have an exciting announcement! We have just been told by our online booking system providers that a new update will be rolled out today! This means the booking system will be down today from around noon for 2 hours or so.

This update will make it easier to see your account activity with a clear, up to date statement.

As with any update there is going to be a teething period while we work through problems and iron out any kinks, so we ask for your patience during the next few weeks. If you have any immediate concerns drop us an email or call our administrator from Monday - Thursdays on 07508 846582.

We hope you like the new system!
